New Employees

Welcome to the North Santiam School District!

We are excited to have you join our team. Please follow the steps below to complete your onboarding process.  All steps must be completed before you can begin work.

As a new member of NSSD, you have an entire community dedicated to supporting your success during your career here.  We look forward to meeting you at our New Hire Orientation!  In the meantime, we have some paperwork to get the hiring process started. 

The links to the current Salary Schedules are listed at the bottom of the Welcome to Human Resources page.  Your placement on the Salary Schedule will be determined by official transcripts (licensed staff) and/or experience (Verification of Experience form).  The current staff calendar is located in the About Us / Calendar menu.  You will receive information regarding your individual work calendar after your employee paperwork has been processed. 

1.  Complete Your Digital Hiring packet.

We use Frontline Central to process all onboarding forms. You will receive three specific emails to guide you:

  • Account Invitation: An invite to set up your Frontline Central account. (If you have a substitute service account, you must still create a new employee account with us).

  • Onboarding Link: A direct link to your digital onboarding packet.

  • HR Welcome Email: Includes a "Getting Started" video, approximate salary placement, and a list of district contacts.

Forms Included in Your Packet:

  • Background Checks: Standard Employee Background Check and Bio-med (required if you have lived outside of Oregon).

  • HR Agreements: Conditions of Employment, Employee Responsibilities (On-the-job Injuries), and Electronic Communications Policy.

    • Note: The name you provide for Electronic Communications will be your official NSSD email address.

  • Payroll & Tax Forms:

    • I-9 Form: Please see the form for the list of acceptable identification.

    • W-4 Forms: Both Federal and Oregon (OR-W-4).

    • Direct Deposit: Requires a scanned voided check or a bank account printout.

  • Data Collection: Race and Ethnicity Data Collection (required for the Oregon Department of Education).


2. Verifications and Disclosures

To ensure accurate salary placement and the transfer of sick leave hours, we must verify your professional history.

  • Disclosure Release (HB2062): Required for your three most recent education-related employers.

  • Verification of Experience: Used for salary placement and transferring sick leave (Oregon districts only).

    • Action: Complete the top portion of a separate form for each previous district (excluding substitute work).

Important: Please contact your former employers to ensure you have the correct email address for their HR or Payroll departments. We will send these forms to them once you provide the contact info.


3. Fingerprinting & Transcripts

Fingerprinting (Non-licensed staff only)

If you have not worked for a school district before, you must schedule an appointment with Fieldprint. Details are in your Welcome email.

  • New Clearance: Complete the NSSD Deduction Authorization form.

  • Recent Clearance: If you were fingerprinted by another Oregon district in the last 3 years and have not left the state, we can look up your current clearance.

Official Transcripts

  • Licensed Staff, EAs, & SPAs: Order official transcripts to be emailed directly from your school to hr@nssd29j.org.

  • Tutors: If you have a college degree, you must provide official transcripts to ensure you receive the correct pay rate.


4. Schedule Your Onboarding Meeting

Once your online forms are finished, contact Courtney Mathenia to schedule an appointment at the District Office to finalize your I-9.

What to bring to this meeting:

  • A current Passport OR

  • A valid Driver’s License AND your Social Security Card.

If you do not have either of these, please see the electronic I-9 form for a list of additional acceptable forms of identification.


ODE Data Collection Overview

As part of your onboarding, you will complete the Race and Ethnicity Data Collection form. This data helps the Oregon Department of Education (ODE) monitor equity in hiring and student support across the state. According to recent ODE reports, the state's educator workforce is becoming increasingly diverse, though it still strives to match the demographics of the student population.
